REAP is a service provided by Australasian Human Research Ethics Consultancy Services Pty Ltd (AHRECS).
We care about the privacy of information provided by you. We do not sell or rent your personal information to third parties. We do not disclose it to others except as required to provide you with the services of the REAP – to allow you to give and receive the information you want in order to use the site.
We collect information that you provide us or voluntarily share with other REAP users and also some general technical information that is automatically gathered by our systems, including IP address, browser information and cookies in order to improve your user experience.
Information that you provide to us in the process of your registration on the REAP website will remain private and secure – including your contact information.
Technical information that is gathered automatically by our system may be used with the operation, optimisation, analysis, content promotion and enhancement of the user experience of the REAP site.
We may use your information to contact you to provide notices related to your activities but we will not let any other person contact you, other than through your user login. We loathe SPAM and will only send out messages sparingly and will make it easy for you to opt-out of messages that you do not wish to receive. We may use aggregate information from the operation of REAP for journal papers or other research outputs. If we wanted to use individual cases and/or potentially identifying information we will only do so with the express consent of the relevant parties – researcher and/or adviser.

AHRECS Pty Ltd respects your privacy and is committed to protect the personal information of REAP users – advisers and researchers who use the REAP site. We think you have a right to know what we intend doing with the information we collect when you use the REAP website.
WHAT INFORMATION IS COLLECTED?
When you register to use the REAP, we ask you to provide personal information including a valid email address, location and a username. We may collect additional information such as a physical address and additional authentication information, to provide you with services you need or to ensure integrity, for example, by the prevention of fraud. Our purpose in collecting this information is to provide better services and user experience for advisers and researchers.
\We also collect information while you access, browse, view or otherwise use the site. When you access the site, we are aware of your usage and may gather, collect and record the information relating to that usage, including geolocation information, Internet Protocol (IP) address, device and connection information, browser information and web-log information and all communications entered into by users using the site. We use this information to improve user experience and monitor the use of the site for inappropriate content or behaviour.
Once you register as an Adviser, your username and additional information regarding your qualifications and experience will be visible to all users of the REAP site. This information includes the answers to the questions asked about your profile and all other information that you choose to add to your profile.
Once you register as a Researcher, your username and additional information that you had will be visible to any Adviser with whom you make contact through the REAP site.
All users of the site, including Advisers and Researchers, accept the terms and conditions that include an obligation to use personal information only for the purposes for which it was provided, namely, the provision of information about a research project to inform a review and the content of either basic or full advice provided to researchers for the purpose of informing their applications for ethics review.
COLLECTING THE INFORMATION
You provide us directly with most of the information we collect and do this by filling out the registration details and by providing and sharing information about research projects or advice through the services of the REAP site. This can include information on the background, experience and expertise of Advisers and of Researchers related to the research project on which advice is sought from that Adviser by that Researcher.
USING THE INFORMATION
We use personal information only as necessary to provide you with the REAP site service with security. We may use the information collected from you to verify your identity, to establish and set up your account, to log your activity and to contact you when necessary.
The information can help us improve the service of the REAP site. The information can also help us to track any inappropriate activity and monitor the integrity of content provided to and from the site. If your account is ever deactivated, we will keep the information you have provided but only for use to comply with regulatory requirements and to contact you in order to invite reactivation of your account.
We will always ask and gain your consent before using information that you have provided for a purpose other than those set out in this policy.
We retain information for as long as necessary and relevant, for example, we may retain personal information from deactivated accounts to comply with legal requirements collect any fees owed, resolve disputes or other problems including any investigation or other actions permitted by law.
The senior staff at AHRECS are active researchers which is one of the reasons why we are so keen to contribute to better ways of doing research ethically. We may use aggregate information from the operation of REAP for journal papers or other research outputs. However, if we wanted to use individual cases and/or potentially identifying information we will only do so with the express consent of the relevant parties – whether you are a Researcher and/or Adviser.
SHARING PERSONAL INFORMATION
We do not sell or rent your personal information to third parties for any purpose without your explicit consent.
We may provide your personal details to third parties only in order to provide services offered by the REAP site or as required by law, in the following ways:
- to service providers for the purpose of opening, operating and servicing your account, for example, payment providers
- to respond to a subpoena or court ordered judicial process or other regulatory authority
- to protect against fraud or inappropriate conduct: we do not collect credit information but allow our payment providers to collect information for the purpose of receiving payments from, or making payments to, site users.
We maintain security of the REAP site and of your information by preventing unauthorised access through the use of industry-standard technologies and internal procedures. However, we cannot guarantee that unauthorised access will never occur. Accordingly, users registered with the site agree to keep their password in strict confidence.
KEEPING YOUR INFORMATION ACCURATE
We are required to ensure that the personal information that we collect from you is accurate and up-to-date and will provide you with opportunities to update your information through your account profile settings. If you think your information is in any way inaccurate, please inform us promptly and we will take reasonable steps to correct any inaccuracies as quickly as possible or, where necessary and permitted, provide you with ways to do so. When you seek to update your personal information, we may ask you to verify your identity before acting on your request.
You can review and update by logging onto the REAP Site and accessing your account profile. Alternatively, you may send us an email at [email protected] to request access to, correct or change any personal information that you have provided. We cannot delete your personal information except by also removing your user account and we may decline a request to change information if we consider the change would be unlawful or cause the information to be incorrect.
CHANGES TO THE POLICY
We reserve the right to change this policy at any time and recommend you revisit this page if you wish to keep up to date with our policies.
Changes to the policy are effective as of the stated last update date and your continued use of the site on or after that date will be regarded as acceptance of and agreement to be bound by those changes.
